Formerly called Terminal Services, it turns a server into a real remote desktop server: applications and data stay in one place, and everyone connects from the office, from home or from a client site.

For a small business or a freelancer with a few colleagues, the benefits are very concrete:

a single machine to maintain, back up and secure;

a business application (accounting, management, quotes) installed once and shared by the whole team;

lightweight or older client computers are enough, since everything runs on the server;

remote work without copying sensitive data onto personal computers.

Before investing, one question matters: do you really need RDS, or is the simple Remote Desktop already included in Windows enough? The answer changes your budget completely.

Remote Desktop in Windows 11 Pro: often enough, and already included

Windows 11 Pro includes Remote Desktop out of the box: you take control of a PC from another device without buying anything else. The limit is simple: one user at a time per machine. When someone connects remotely, the local session locks. Windows 11 Home, for its part, cannot receive Remote Desktop connections at all.

In many situations, that is exactly what you need:

a freelancer who reaches the office PC from home;

a manager who occasionally checks the accounting workstation;

a technician who supports the team’s computers one by one;

a small team where each person connects to their own PC.

In these cases, one Windows 11 Pro key per PC, at {prix:windows-11-pro}, settles the question, with no server and no CALs. There is no point paying for an RDS infrastructure for single-user access: we would rather tell you so plainly.

Remote Desktop or RDS: side-by-side comparison

The table below sums up the difference between Remote Desktop in Windows 11 Pro and a true RDS server on Windows Server.

Criterion

Remote Desktop (Windows 11 Pro)

RDS (Windows Server)

Simultaneous users

1 per machine

Several, depending on the number of RDS CALs

License required

Included in Windows 11 Pro

Windows Server, its CALs and one RDS CAL per user or per device

Typical use

Access to your own PC, remote support

A whole team working on a shared server

Applications

Installed on each PC

Installed once on the server, available to everyone

Entry cost

{prix:windows-11-pro} per PC

{prix:microsoft-windows-server-2022} + CALs and RDS CALs

Who it suits

Freelancers, very small businesses, occasional use

Small businesses, practices, shared business software

In short: as long as only one person at a time connects to a given machine, Windows 11 Pro is enough. As soon as several colleagues need simultaneous sessions on the same server, you need Windows Server with RDS licenses.

When an RDS server becomes necessary

Some signs are unmistakable. A remote desktop server on Windows Server is the right setup when:

two or more colleagues must work at the same time on the same machine or the same software;

your business application only exists as a classic Windows program and must be shared by the team;

you want to centralize data and backups instead of scattering them across laptops;

seasonal staff, temps or contractors need a ready-to-use work environment straight away;

you connect branch offices or remote sites without deploying heavy IT on site.

The foundation is then Windows Server 2022, available for {prix:microsoft-windows-server-2022} as a perpetual license. The Remote Desktop Services role is enabled from Server Manager; plan a machine with plenty of memory, since every open session consumes resources. Our Windows Server buying guide covers the other roles a server can take on.

A worked example to help you decide

Imagine a five-person practice sharing the same management software. First approach: everyone works on their own PC, and five Windows 11 Pro keys cover the need; in return, the application must be installed, updated and backed up five times. Second approach: centralize everything with a Windows Server 2022 license and five “per user” RDS CALs; the software is installed only once, the data stays in one place and remote work runs natively. The right calculation is therefore not limited to the price of the licenses: it also includes administration time, data security and simpler backups.

RDS CALs: how a remote desktop server is licensed

This is the point that puzzles small businesses, so let us keep it simple. A complete RDS deployment rests on two layers:

the Windows Server license itself, which covers the server’s operating system, together with the standard Windows Server CALs;

the RDS CALs (Client Access Licenses), which grant the right to connect remotely: one per user or per device using the service.

“Per user” RDS CALs

One CAL per named person, whatever the number of devices they use (office PC, laptop, tablet). It is the usual formula for mobile teams and remote workers.

“Per device” RDS CALs

One CAL per physical device, whatever the number of people who take turns on it. Relevant when several employees share the same workstations, for example in staggered shifts, in a workshop or in a shop.

License server and hardware sizing

RDS CALs are not entered when you install Windows Server: they are declared in a dedicated component, the Remote Desktop license server, enabled with the RDS role. It then issues access rights to users or devices as they connect. On the hardware side, count roughly 2 GB of RAM per open office session, on top of the needs of the system and your applications: a server meant to host five to ten comfortable sessions is sized at purchase time, multi-core processor and fast storage included.

Getting started in practice

By default, Windows Server allows two simultaneous connections reserved for administration: enough to install and prepare your server. Once the RDS role is enabled, Microsoft grants a grace period of about 120 days before the CALs are required, which leaves time to validate the project in real conditions.

To be transparent: this page sells the Windows Server 2022 license ({prix:microsoft-windows-server-2022}) and Windows 11 Pro ({prix:windows-11-pro}). RDS CALs are not part of the licenses listed here: email our support team with your headcount and we will explain what your setup requires, without selling you more than you need.

Ordering your license: delivery and activation

All our licenses are delivered the same way: key sent by email within minutes, activation on Microsoft’s official servers, and a perpetual license for these one-time purchase versions. Payment is secure (card, Apple Pay, Google Pay, Bancontact), with an invoice including VAT and lifetime replacement of a defective key.

For a remote access project, four licenses cover the essentials:

Microsoft Windows Server 2022, {prix:microsoft-windows-server-2022}: the foundation of your multi-user RDS server;

Windows 11 Pro, {prix:windows-11-pro}: single-user Remote Desktop included, also the right choice for client PCs;

Windows 11 Pro + Office 2021 Pro Plus bundle, {prix:windows-11-pro-office-2021-pro-plus-bundle}: to equip a complete workstation, system and office suite, in a single purchase;

Windows 10 Pro for Workstations, {prix:windows-10-pro-for-workstations}: for a powerful workstation controlled remotely by a single demanding user, as explained on our Windows Pro for Workstations page.

Equipping a whole company?
