Office Unlicensed Product Error: Fix the Red Banner

The red banner that reads “Unlicensed Product. Most of the features are turned off because it hasn’t been activated” means that when Word, Excel or Outlook started up, Office found no valid license attached to your installation. In the vast majority of cases this is neither a virus nor a corrupted file: it is an identity problem (the wrong account is signed in), a subscription problem (expired or unpaid), or a local activation token that has gone stale. Your documents are in no danger whatsoever, but Office stays read-only for as long as that banner is on screen. We are going to work through the causes in order, starting with a simple sign-out and finishing with a full license reset from the command line.

What the “Unlicensed Product” error really means

Office checks in with Microsoft’s servers on a regular basis to confirm that your license is still valid. When that check fails, the application drops into reduced functionality mode: red bar across the top of the window, editing commands grayed out, saving blocked. Because the wording is identical no matter what caused it, the only reliable approach is to eliminate the possible causes one at a time.

Before you start, find out which kind of Office you are dealing with, because the fix path splits in two. Open Word and go to File > Account. If the Product Information block mentions a subscription, you are on Microsoft 365 and the answer lies with the account. If it says Office 2016, 2019, 2021 or 2024 Professional Plus, you have a perpetual license tied to a 25-character product key, and the command line will eventually be your friend.

• The wrong account is signed in: Office is open under a personal Microsoft account while the license belongs to a different one, or the other way round.
• An expired or unpaid Microsoft 365 subscription, or a license revoked by an administrator on a company or school machine.
• A corrupted local activation token, which typically shows up after a motherboard swap or a disk clone.
• A product key that is used up, expired or revoked by Microsoft.
• Wrong date or time zone, or a network blockage (firewall, corporate proxy, VPN) that stops the machine reaching the activation servers.
• Two versions of Office living side by side — a pre-installed Microsoft 365 trial next to the Office 2021 or 2024 you actually paid for — and the unactivated one is the one launching.
• An unofficial activator: the fake KMS servers installed by cracked tools stop answering sooner or later, and the banner comes straight back.

The fixes, from the simplest to the most drastic

1. Check the signed-in account and refresh the license

1. Open Word, then go to File > Account (in Outlook it is File > Office Account).
2. In the Product Information block, check that the account shown is genuinely the one that owns the license.
3. If it is the wrong one: Sign out, close every Office application, reopen Word and sign back in with the correct account.
4. If the account is correct, click the Update License or Reactivate button when it appears.

This single step clears a surprising share of cases, particularly on machines shared by a family or a small team where someone signed in with their own address at some point and never signed out.

2. Fix the clock, the network and the updates

1. Settings > Time & language > Date & time: turn on automatic time and time zone, then hit Sync now. A clock that has drifted is enough on its own to make activation fail.
2. Turn off your VPN and any proxy for the duration of the test.
3. File > Account > Update Options > Update Now, then restart the PC.

3. Quick Repair first, then Online Repair

1. Open Settings > Apps > Installed apps and find your Office or Microsoft 365 entry.
2. Click the “…” menu > Modify > Quick Repair (about two minutes, works offline).
3. If the banner is still there, go round again with Online Repair: Office is reinstalled from scratch, and your documents and Outlook profiles are left untouched.
4. While you are in there, uninstall any duplicate Office installation you find.

4. Reinstall the product key with ospp.vbs

This method applies to the “perpetual” editions of Office (2016 through 2024) and wipes the license stored on the machine. Open Command Prompt as administrator, then move into the Office folder with cd “C:\Program Files\Microsoft Office\Office16” (or C:\Program Files (x86)\… for a 32-bit Office). Office16 is the correct folder name for every release from 2016 to 2024 — Microsoft never renamed it.

Run them in that order and read the output of each one before moving on; /dstatus in particular will tell you straight away whether the machine is pointing at a KMS host it should never have been talking to. One frequent mix-up worth clearing up: slmgr handles the Windows license, ospp.vbs handles the Office license. Running slmgr /dlv will show you a perfectly healthy Windows activation and tell you nothing at all about your red banner.

If ospp.vbs is nowhere to be found, your Office is a consumer (Click-to-Run retail) build: enter the key from File > Account > Change Product Key instead, or sign in at the Microsoft account page that holds it. Our Office 2024 activation guide covers the procedure step by step.

5. Clear the cached credentials

1. Close every Office application.
2. Open Control Panel > User Accounts > Credential Manager > Windows Credentials.
3. Delete the entries starting with MicrosoftOffice16_Data and OfficeSPP.
4. Restart, reopen Word and sign in with the account that owns the license.
5. As a last resort, run the Microsoft Support and Recovery Assistant (SaRA), a free official tool with a dedicated scenario called “Office says it’s unlicensed”.

If none of that worked

At this point you have to consider the least pleasant hypothesis: the license itself is dead. A revoked key (a volume license resold fraudulently, a diverted MSDN key), one that is exhausted after too many activations, or one attached to a cancelled subscription will not be brought back to life by any command. The same goes for an OEM license, which is permanently bound to the PC it shipped on and cannot legally follow you to a new machine.

A frank word about the activators floating around online: they simulate a corporate KMS server, and they fall back to “Unlicensed Product” sooner or later. Re-running them only postpones the problem, and you carry the legal exposure and the malware risk in the meantime. There are two clean ways out:

• Microsoft support, if your case is legitimate (you have an invoice, an active subscription): they can unblock a key that was suspended by mistake, or authorize a reactivation after a hardware failure.
• A new genuine license: a perpetual key costs under €20, installs in a couple of minutes and depends on no subscription at all. Our Office activation guide and license page walks you through it.

Buying a second-hand license is entirely legal inside the EU. The Court of Justice settled the question in the UsedSoft v. Oracle ruling (C-128/11): once a software license has been sold in the European Union, the rightsholder’s distribution right is exhausted and that license can legally be resold. Frequently asked questions

Are my documents at risk while the red banner is showing?

No. Your files stay intact and Office still lets you open, read and print them — only editing and saving are disabled. If you have unsaved work in progress, save it through the free web version of Word before you launch a repair.

Why does the banner come back after a successful reactivation?

Office renews its license token with Microsoft’s servers at regular intervals. When it cannot, the banner reappears. Three usual suspects: a machine that spends long stretches offline or behind a filtering proxy, a second Office installation that is taking priority, or an unofficial activator whose server has stopped answering.

Can I reuse my Office key on a new computer?

A retail license bought separately can generally be transferred, provided you remove it from the old machine first (cscript ospp.vbs /unpkey, then uninstall). An OEM license that came with the PC, on the other hand, stays with that machine for good. Does the banner mean my copy of Office is pirated?

Not necessarily, and jumping to that conclusion wastes time. A perfectly legitimate installation will show the same message after a motherboard replacement, a subscription that lapsed for a day, or a corporate proxy blocking outbound traffic. The message is about a failed check, not about your honesty. That said, if the machine was set up by someone else with a “free activation tool”, the banner is exactly what you would expect, and the only durable fix is a real key.

Does Quick Repair delete my Outlook emails or my settings?

No. Neither Quick Repair nor Online Repair touches your documents, your Outlook profiles or your local PST/OST files. Online Repair does redownload the whole suite, so allow a few gigabytes of traffic and roughly twenty minutes on a normal connection.
