Where to enter your Office product key

Office activation is the step that links your copy of Word, Excel and PowerPoint to a valid license. An Office key is never entered in the Windows settings: it goes either into an Office app or into your Microsoft account, depending on the edition you bought. Here is how to tell which case applies to you.

Office Professional Plus: the key goes into an Office app

Office 2019, 2021 and 2024 Professional Plus keys are entered on the computer itself. Install the suite with the download link provided with your order, then open Word or Excel: an activation window asks for your key. If it does not appear, go to File > Account > Change Product Key, type the 25 characters and choose online activation. After about thirty seconds, the Account page should read “Product Activated”.

Store-bought Office: the key is redeemed online

Editions sold in shops as a box or a card, such as Office Home 2024, are redeemed at setup.office.com: sign in with your Microsoft account, enter the key, and the license is attached to that account, which then offers the download. Microsoft 365 and Office 365 plans follow the same logic: they activate when you sign in to the Office apps with the account the plan belongs to.

Before you start, check which version is installed: in Word, File > Account > About Word shows the exact version and whether it is 32-bit or 64-bit. Whatever the edition, keep your key with your invoice: it is your proof of license, and you will need it again after a reinstall.

The role of your Microsoft account

Whether you need a Microsoft account depends on the edition. Store-bought editions and subscriptions cannot activate without one, while Professional Plus editions activate on the PC with the key alone. When an account is involved, a few rules avoid most surprises:

• Use one account and keep its sign-in details safe: a key redeemed on one account cannot be moved to another.
• A one-time-purchase license runs on one PC at a time; adding it to your account does not duplicate it.
• One account can hold several licenses, for example a one-time-purchase suite and a subscription, as long as only one version of Office is installed on each PC.

Office activation by version: which method applies?

Prices are read live from our shop. One rule applies to every edition: the key must match the suite that is installed. A Professional Plus key is refused by a Home and Student installation, and the reverse is also true.

Activation also needs an internet connection, just long enough to talk to Microsoft’s servers. After that, Office works offline and only checks its license from time to time, which explains why a warning banner can appear several weeks after installation.

Activation failing? The troubleshooting checklist

Almost every Office activation failure comes down to one of six causes, and none of them requires reinstalling Windows.

• Installed version different from the key. Uninstall, then reinstall the exact edition from the download link supplied with your license.
• Another Office version already installed. A Microsoft 365 trial preloaded on a new PC, or an older Office 2016, 2019 or 2021, takes over activation: remove it under Settings > Apps before entering your key.
• Wrong date, time or time zone. The license check then fails without a clear message: correct the clock, restart and try again.
• Firewall, VPN or company proxy filtering Microsoft’s activation servers: switch them off while you activate.
• “Activation limit reached” message. Go back in the wizard and choose the telephone activation option, then complete it on Microsoft’s official activation website: you enter the installation ID shown on screen and receive a confirmation ID to type in.
