Licenses for multiple PCs: what you are actually buying

Buying licenses for multiple PCs often brings to mind corporate agreements with Microsoft: multi-year commitments, a minimum number of seats and an administration portal. Here, the logic is deliberately simpler: you order exactly the number of perpetual licenses you need, with no contract, no minimum quantity and no renewal date. Three PCs today, seven in six months: you add licenses as you hire.

These are genuine pre-owned Microsoft licenses, legally resold in the European Union since the UsedSoft ruling of the Court of Justice of the EU (case C-128/11), which confirmed that the distribution right is exhausted once software has been sold with a perpetual license. Each order comes with an invoice with VAT, and every license with lifetime replacement of a defective key.

What budget for 3, 10 or 50 PCs?

The calculation stays simple: the price of each license or pack, multiplied by the quantity you need, with no setup fee or entry cost. Here are the configurations companies ask for when they renew their PCs.

On the two Office (5 PC) product pages, you choose between a single-PC license, a 2-PC license and a 5-PC pack; the price shown on each product page is the reference. You can freely mix references within the same order: nothing requires every PC to be equipped identically.

Good to know: Office 2021 and Office 2019 remain fully functional, but Microsoft stopped publishing security updates for them in October 2026 and October 2025. For PCs meant to run for years, Office 2024 Professional Plus is supported until October 2029. Microsoft support for Windows 10 Enterprise LTSC 2021 runs until January 2027.

Invoice, VAT and accounting records

Each order generates an invoice in your company’s name, with an invoice number, VAT shown and the list of products delivered. Enter the company name and billing address at checkout so that the document is ready for your accounts.

Keep this invoice with the list of PCs you equipped: it is the document to produce in a software compliance audit. For accounting purposes, low-value licenses are usually booked as an expense for the financial year rather than as an intangible asset, but your accountant will decide according to your internal thresholds.

Rolling out the keys across your PCs

The principle is that of a unit purchase, repeated as many times as necessary:

• One license per PC. Each Windows license activates one machine, and a “5 PC” Office pack covers five machines. Whatever the number of licenses ordered, each PC is activated individually.
• No infrastructure to set up. No activation server, no administration portal: activation is done PC by PC, online with Microsoft.
• An internal register. Keep a spreadsheet linking each key to its PC, its user and its activation date: it will save you time at the next renewal.
• System images welcome. Deploy a master image without a key, then enter each PC’s own key in Settings or with the slmgr /ipk command.

Worked example: an eleven-PC office

Take an accounting firm with eleven PCs. A simple order looks like this: eleven Windows 11 Pro licenses, then, for the office suite, two Office 2021 Professional Plus (5 PC) packs plus one single license of the same version for the eleventh PC. If the firm prefers a version still supported by Microsoft, eleven Office 2024 Professional Plus licenses do the same job. Either way, everything arrives in one order, with one invoice with VAT, and each PC is then set up individually.

For a mixed fleet, a common combination is Windows 11 Pro on every PC plus an Office pack for the team, and Windows 10 Enterprise LTSC only on dedicated machines that must not change. • Which machines must stay frozen? Production or measurement PCs that must not receive feature updates are the natural home of the LTSC edition.
